Who we are

What we collect
When you book a call, fill in a form, or message us via the chat widget, we collect the contact details you provide (typically name, email, phone number, business name, and what you tell us about your business).
When you call our advertised phone number, your call is answered by our AI assistant. We collect the audio of the call, an automatically generated text transcript, the phone number you called from, and any contact or business information you share during the conversation. We tell you the call is recorded at the start of every call.
We also collect basic analytics data about how visitors use this site (cookies, pages viewed, anonymised IP).
How we use it, and the lawful basis
We use your information to reply to your enquiry, book and run the discovery call, deliver the services you sign up for, monitor and improve the quality of our AI assistant, prevent fraud and abuse of our phone line, and keep our own systems running.
Our lawful basis under UK GDPR is normally legitimate interests — specifically, our interest in responding to people who contact us and in operating a phone line that works reliably. Where we use your contact details for marketing beyond the discovery call you booked, we rely on your consent, which you can withdraw at any time.
We don't sell your data, and we don't use it to train third-party AI models.
Calls handled by our AI assistant
If you call our advertised number, our AI assistant (Riley) may handle the call from start to finish. You will be told at the beginning of the call that the call is being recorded and that you are speaking with an AI assistant. You can ask to speak to a person at any time, or you can hang up and email us at Hello@teventis.com instead.
We use the recording and transcript to book your discovery call, to give the team context before that call, and to monitor and improve how the assistant performs. We do not use call content to train any third-party AI model.
Who we share it with
We use a small number of carefully chosen processors to deliver the service. They handle your data on our instructions only and are contractually required to protect it.
- Vapi — operates the phone line and produces call recordings and transcripts.
- Anthropic — provides the language model that powers the AI assistant's responses.
- Calendly — manages booking the discovery call and sending the calendar invite.
- Our hosting and email providers — store call records, transcripts, and contact correspondence on servers we control.
Some of these providers are based outside the UK. Where data leaves the UK, it's covered by appropriate safeguards (such as the UK International Data Transfer Agreement or the EU Standard Contractual Clauses with the UK addendum).
How long we keep it
- Call recordings — 30 days, then deleted automatically.
- Call transcripts — up to 12 months, so we can give you context if you contact us again.
- Contact details and emails — for as long as our engagement with you is active, and up to 6 years afterwards to meet our legal and tax obligations.
- Analytics — anonymised after 26 months.
You can ask us to delete your data sooner — see "Your rights" below.
Your rights
You can ask for a copy of your data, ask us to correct it, ask us to delete it, restrict how we use it, object to us using it, or move it to another provider. You can withdraw consent for any marketing at any time. To exercise any of these rights, email Hello@teventis.com and we'll handle it within 30 days.
If you're not happy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd ask you to come to us first so we can try to put things right.
Cookies
We use a minimal set of analytics cookies to understand which pages visitors find useful. No advertising cookies, no third-party trackers beyond what's needed to deliver the site.
Changes to this notice
If we change this notice, we'll update the "last updated" date at the top. Material changes will be flagged on the homepage for 30 days.
